You are probably a victim of using half-fast information systems in your business and don’t even realize it’s affecting revenue.  With today’s ever-changing technology and the daily operations of your business, it’s easy to get behind with the current information system trends.  And of course, many of us feel that if it isn’t broken, don’t fix it.  Well, guess what?  It is broken!  If you are behind on technology, your business is missing out on revenue so you should probably fix that. I’m sure you’re wondering how you can fix it.

First, let me ask you…Have you evaluated your company goals and strategies including your processes in the last month or even in the last quarter? Since it’s the beginning of the year, most of us have and we have fresh new ideas and many tasks to tackle in the upcoming year.  Do these tasks seem like they take forever to you?  If so, it’s probably because you don’t have the right information systems in place.  The ones you’re using are half-fast.

Let’s look at timekeeping as an example.  Do you have a timekeeping system that is housed on your server and requires you to export or input data to another system?  Well, that’s your first and second mistake! Mistake one, it is housed on your server. Mistake two, you have to manually export or input data.  That system probably seemed like the best thing since sliced bread when you first got it but I am here to tell you that it’s not.  Cloud-based systems are so much better than anything housed on your server.  You probably just blinked your eyes and felt like you entered a new age because you have no idea what a cloud-based system is.  To bring you up to date, cloud-based systems have applications, services, and resources available via the internet so they can be accessed anywhere there is an internet connection.

There are several advantages to using cloud-based systems.  One is that the cloud-based computing is done on the provider’s servers so you don’t have to worry about supplying the server infrastructure in-house.  You also don’t have to worry about training your staff to maintain and troubleshoot the server or hiring an IT company to do all of that for you.  Additionally, cloud-based systems are automated and they automatically save changes to the information as they are made. So no more sending documents back and forth in hopes that someone doesn’t overwrite the information or use the wrong document version.

Enough about all of that though.  Let’s get into the good stuff, the important stuff.  How getting away from half-fast systems can increase your revenue.  We’ll give you one great example that impacts many areas of your business.  Recruiting!  I’m sure you need help and you need good help fast.  So your HR department is sifting through resume after resume to find the right fit for the job.  Once they’ve found a handful of resumes that they feel are qualified, they then have to screen the applicant and interview.  Of course, once they find that perfect fit, they have to onboard them.

Onboarding is like the light at the end of the tunnel because they use Echosign, a web-based electronic signature content management system.   Although Echosign is web-based and speeds the process up, the rest of the process takes so long.  What takes even more time is when you have another position with similar requirements so your HR department starts sifting through more resumes.  They are racking their brain about this one resume because the name rings a bell.  They ask everyone in the office if they remember that name and finally realize that it was a person that worked there years ago who was malicious and let go from the company.

Did you know that improving your recruiting process is one way that you can increase revenue?  Not only will using a cloud-based system speed up the time it takes to fill a position but it also speeds up your production.  Just think, your half-fast system could be super fast if it had all the tools necessary.  Let’s go back to the example above and say you were tired of this lengthy process so you looked into an applicant tracking system (ATS).  The ATS stores applicant data, notes about the interview, and allows the recruiters to screen applicants in a quarter of the time your current system does.  So, now your HR team is filling positions quickly and can move right past that candidate that cannot be rehired because they see the person’s profile notated. This ATS translates into an immediate increase in revenue because you’re cutting down on the amount of manpower needed to complete tasks and your company is staffed so you don’t have those open positions costing you overtime or decreasing production.

I bet by this point you are ready to jump on the internet and find the next best information systems for more than your HR department but just wait.  As a small business, you will have sticker shock so let’s look at option two.
